Terms of Service
Last updated: 3 November 2026
These terms explain how we work with dental practices: what we do, what we need from you, how payment works and what happens if things don’t go to plan. By paying us or starting work with us, your practice agrees to them.
About these terms
Smile Anchor is a trading name of Proxels Technologies Limited, a company registered in England and Wales (company no. 16329127). Our registered office is Suite C2, 4–6 Greatorex Street, London E1 5NF, United Kingdom. In these terms, “we” and “us” means Smile Anchor, and “you” means the dental practice that signs up.
Our service is for businesses only, not for individual consumers. If we sign a separate written agreement or order form with you, that agreement wins wherever it differs from these terms.
What we do
We build and run a case acquisition system for one elective treatment, such as veneers or implants. We call each treatment a “lane”. For each lane, we:
- plan, write and run Meta and Google ads, from ad accounts your practice owns
- build landing pages that ask prospective patients about their treatment, timing and budget
- send each new inquiry an instant, personalized reply from your practice
- alert your front desk the moment a new inquiry comes in, with the lead’s answers and score
- send reminders before each booked consult, so patients show up
- give you a dashboard that tracks consults booked, show-ups and revenue
We agree the lane, launch date and any details specific to your practice with you before we start.
What we don't do
- We don’t answer calls, run your front desk or confirm appointments for you.
- We don’t give clinical advice or decide which treatment a patient needs.
- We can’t control what Meta and Google approve, how they price ads, or whether they restrict an account.
- We don’t promise a set amount of revenue, a show-up rate or how many patients go ahead with treatment. Revenue figures on our website are targets and examples, not guarantees.
Your part
The system works best, and the guarantee only applies, when your practice:
- spends at least $2,500 a month on ads, paid directly to Meta and Google from your own accounts
- gives us access to your ad accounts, and adds the website records we send you so the landing pages can run on your domain
- has someone who calls each new lead back within 5 minutes during opening hours
- keeps each lead’s status up to date in the dashboard: contacted, booked, showed up, treatment presented, accepted
- reviews and approves ads and landing pages before they go live, and tells us quickly if anything needs to change
- follows the advertising and patient privacy rules that apply to your practice, including your state dental board’s rules and HIPAA
Fees and payment
Paid plan
- A $6,999 foundational cost to build the system, paid in full before we start.
- $3,999 a month for each lane to run the system, tools included. It’s billed monthly in advance, starting on the day your system goes live.
Free spots
When we offer free spots, there’s no foundational cost and no running cost. Your practice pays its own ad spend and a tools cost of ~$700 a month, which we bill monthly in advance. The free engagement covers up to 30 booked consults in 90 days. After that, you can choose to carry on at $3,999 a month per lane. Nothing is charged unless you agree to it.
For both
- Prices are in US dollars and don’t include any sales tax or VAT that may apply.
- We take payments through Stripe, by card or bank transfer, and email you a receipt for every payment.
- Ad spend is never part of our fees. You pay it straight to Meta and Google, and you can see every cent of it in your own accounts.
- If a payment is more than 7 days late, we’ll let you know, and we may pause the work until it’s paid.
Our guarantee
If we don’t book 30 high-value elective consults for your lane in your first 90 days after launch, we keep running the system for you free of cost until we do.
Here’s how it works:
- A booked consult is a prospective patient who came through our ads and booked a consultation for your lane treatment, and whom your front desk has marked as booked in the dashboard.
- The guarantee applies while your practice does its part above, including the $2,500 monthly ad minimum, 5-minute callbacks and up-to-date lead statuses, and while your payments are up to date.
- “Free of cost” means we stop charging the running cost until we’ve delivered. Your ad spend and tools cost carry on as normal.
- The guarantee is extra free work, not a cash refund. See our Refund and Cancellation Policy for refunds.
Ending the service
You can cancel the running cost at any time by emailing hello@smileanchor.com with 30 days’ notice. Our Refund and Cancellation Policy covers what happens to payments when you do.
We can end the service with 30 days’ notice, or straight away if a payment is more than 30 days late or either of us seriously breaks these terms.
When the service ends:
- we stop the ads we’re running and remove our access to your accounts
- your ad accounts, ad history and pixel data stay with you
- you can ask for an export of all your leads within 30 days
- landing pages and the dashboard, which run on our systems, are switched off
Who owns what
Your practice owns its ad accounts, its brand, its patient and lead information, and the ad creative and landing page copy we make for you once it’s paid for. We own our software, the scoring system, the dashboard, our templates and our know-how.
You let us use your practice name, logo and photos to do the work. We’ll only mention you as a client or share your results publicly with your written permission.
Patient information and confidentiality
Our system handles inquiries from your prospective patients on your behalf. Your practice stays in charge of that information, and we only use it to deliver the service. Where HIPAA applies, we sign a business associate agreement with you before any patient information reaches our system.
We each keep the other’s business information private, and only share it with the people and services who need it to do the work. Our Privacy Policy explains how we handle personal information more generally.
Liability
- We aren’t responsible for lost profits, lost revenue or other indirect losses, or for what Meta, Google or other outside services decide or do.
- Our total responsibility for any claim is limited to the fees you paid us in the 12 months before it.
- Nothing in these terms limits anything the law doesn’t allow us to limit, such as responsibility for fraud.
- Neither of us is responsible for delays caused by things outside our reasonable control, such as a platform outage.
Changes to these terms
We may update these terms from time to time and will change the date at the top. If you’re a client, we’ll email you about any change at least 30 days before it applies to you.
Law
These terms are governed by the law of England and Wales, and the courts of England and Wales deal with any dispute. If something goes wrong, please email hello@smileanchor.com first. We’d much rather sort it out with you directly.
